Special event checklist

  •  Obtain the consent of the recipient;
  •  Choose a suitable event date and time;
  •  Plan and confirm the location of the event;
  •  Confirm the availability for your Member of Parliament;
  •  Anticipate size of audience and identify accommodation requirements;
  •  Send invitations to the recipient, staff, students, family, friends, etc.;
  •  Send media advisory to local media one week prior to the event;
  •  Follow up with local media outlets by telephone to confirm attendance and interview/photo opportunities;
  •  Identify someone responsible to greet the media;
  •  Obtain parental consent for photos or student interview (if applicable);
  •  Establish contingency plan to accommodate weather which may affect your event.
