- Obtain the consent of the recipient;
- Choose a suitable event date and time;
- Plan and confirm the location of the event;
- Confirm the availability for your Member of Parliament;
- Anticipate size of audience and identify accommodation requirements;
- Send invitations to the recipient, staff, students, family, friends, etc.;
- Send media advisory to local media one week prior to the event;
- Follow up with local media outlets by telephone to confirm attendance and interview/photo opportunities;
- Identify someone responsible to greet the media;
- Obtain parental consent for photos or student interview (if applicable);
- Establish contingency plan to accommodate weather which may affect your event.
