Shipping requirements for calibration requests

Important: See below for lab-specific shipping requirements for certain types of standards.

Required information

A completed copy of the Calibration Services Request form must accompany each device shipped. Ensure that an active/valid shipping account number for return shipping is identified on the form.

General packaging requirements

The shipping container:

  • must be reusable so the device can be easily repackaged
  • should be built with screws (not nails) since they cause less damage when opening the container

Measurement Canada is not responsible for damage to the shipping container if it is nailed closed or requires disassembly to remove the item(s) it contains.

Shipping requirements for static liquid volume standards

Level 2 and 3 open neck provers (20 to 2500 L) are to be shipped to a regional Measurement Canada office.

Ship all other volumetric standards, including pressure hydrometers, to Measurement Canada's Approval and Calibration Services Laboratory in Ottawa.

Shipping requirements for mass standards

Ensure the weight kit meets the following requirements:

  • The case and any boxes inside the case all have a permanent label that includes a visible serial number. All other numbers that may be confused with the serial number must be removed.
  • All standards used to inspect class III, IIIHD and IIII scales are marked with a distinct serial number if they are greater than or equal to 1 g.
  • Only standards listed on the previous certificate of calibration are included in the set of standards. If you need to add standards to a set, contact the Approval and Calibration Services Laboratory (select "measurement standards" from the first drop-down list).

Cast iron standards 5 kg and larger used to inspect class III, IIIHD and IIII scales are to be shipped to a local Measurement Canada office.

All other standards meeting the following criteria are to be shipped to Measurement Canada's Approval and Calibration Services Laboratory in Ottawa:

  • Stainless steel standards 5 kg and smaller that are part of a weight kit used to inspect class III, IIIHD and IIII scales
  • All standards used to inspect class II scales

International shipments

You must make sure that:

  • your shipment complies with all customs and importation requirements
  • you have prepaid all applicable customs and importation costs
  • you have prepaid all shipping costs
  • you have arranged for the device to be returned to you
  • you have sent all paperwork (waybill, commercial invoice and any other related forms) by email to the attention of Shipping and Receiving Services

Consult the Canada Border Services Agency's checklist to ensure you are aware of all customs and importation requirements and fees, as well as charges that apply to your shipment.

Return of standards

International shipping

Measurement Canada will provide you with the weight and dimensions of the package. It is advisable to wait for this information prior to making further arrangements for the return shipping of your standards.

All paperwork (waybill, commercial invoice and any other related forms) must be sent by email to the attention of Shipping and Receiving Services.

Any cost associated with the repackaging of a device is the customer's responsibility.

National shipping

Arrangements for the return of your standards are your responsibility. However, Shipping and Receiving Services can also make the arrangements if you provide an account number and waybill in advance.

Shipping requirements for type approval requests

Important: Do not ship your device to Measurement Canada until requested to do so.

Required information

Include with your shipment:

  • a copy of your completed type approval request form
  • a page containing:
    • the project number assigned to your application by Measurement Canada
    • a list of the devices and auxiliary devices in the shipment, including their model and serial numbers
    • your full return shipping address
    • the name of your shipping carrier
    • the method of shipment
    • your account number with the shipping carrier
    • instructions for the disposal of each device and auxiliary device in the shipment after testing has been completed

Packaging requirements

The project number assigned to your application by Measurement Canada must appear on:

  • all devices, auxiliary devices, documentation, software and hardware included in the shipment
  • the packaging and packing slip

Shipments that do not include the assigned project number will be returned freight collect.

The shipping container:

  • must be reusable so the device can be easily repackaged
  • should be built with screws (not nails) since they cause less damage when opening the container

Measurement Canada is not responsible for damage to the shipping container if it is nailed closed or requires disassembly to remove the item(s) it contains.

Devices shipped in non-reusable containers will not be processed until you have arranged return packaging.

International shipments

You must ensure that:

  • your shipment complies with all customs and importation requirements
  • you have prepaid all applicable customs and importation costs
  • you have prepaid all shipping costs
  • you have arranged for the device to be returned to you
  • you have sent all paperwork (waybill, commercial invoice and any other related forms) by email to the attention of Shipping and Receiving Services

Before return shipping arrangements are made, Measurement Canada's shipping department will only pack the items and provide you with the dimensions and weight of the package.
